Dermatology Practice Manager

A state-of-the-art office in the Newton-Wellesley, MA area is seeking a full-time Practice Manager. The practice provides a full range of medical and cosmetic dermatological services, led by board-certified dermatologists, and supported by a comprehensive staff of nurses, medical assistants, front-office and billing personnel. Patient records, scheduling and billing information is managed through Electronic Medical Records. The practice is affiliated with Newton Wellesley Hospital and the Partners HealthCare System.

Job Responsibilities

Oversee and manage daily operations of the physician office including staff scheduling, telephone triage, appointment scheduling, registration, patient flow and discharge procedures to enhance patient satisfaction and physician productivity.

Provide timely and quality customer services to maintain high level of customer satisfaction, including issues related to services, scheduling or billing. In addition, monitor social websites for customer feedback or suggestions.

Manage financial operations, including patient billing and medical insurance claims and reimbursements, as well as overall vendor management, orders and payments. Includes management of inventory, overall accounting books and records, as well as daily cash reconciliation with bank accounts.

Manage recruiting of new personnel, including the development or refinement of job postings, screening and interviewing of candidates, and onboarding of new hires. In addition, coordinate and manage annual reviews for all medical and non-medical support staff.

Manage and monitor accreditations for physicians, including end-to-end processing for new physicians for affiliation with the Partners network. In addition, manage credentialing and insurance enrollment for all physicians.

Manage marketing and strategy to support the growth of the medical and cosmetic practices. Includes relationship management with primary care physicians and other referral channels, advertising through local periodicals and maintenance and updates for the practice’s on-line presence.

Maintain legal and accreditation compliance concerning federal, state, and local regulations; supporting and upholding policies, procedures, objectives, quality improvement, safety, environment, and infection control; anticipating emerging issues. This includes both Human Resources and medical policies and procedures.

Assist with strategic planning and resource allocation with practice partners. Provide monthly reporting with recommendations or action plans on any issues.


Possesses strong and extensive management experience in a medical practice environment as a practice administrator or practice manager.

Professional demeanor, outgoing personality, strong communicator, ability to interface with patients, and an interest and ability to contribute to the growth of the practice.
